TERMS AND CONDITIONS – Concord Tours & Travel
1.
Registration Information
The
client must ensure that all information provided at the time of registration is
accurate, complete, and consistent with official travel documents.
Any
error in the passenger’s name, date of birth, or passport information may
result in additional fees or the inability to travel.
Concord
Tours & Travel is not responsible for any consequences resulting from
incorrect or incomplete information.
Any
correction requested after confirmation may result in administrative fees as
well as penalties imposed by the service providers.
2.
Prices
Prices
are established based on the purchase date, exchange rates, taxes, and
applicable surcharges in effect at the time of publication.
Prices
are subject to change without prior notice until full payment has been
received.
Once
full payment has been received, no price adjustment will be made unless
otherwise required by law.
In
accordance with applicable Quebec laws, if the price increase exceeds 7%
(excluding taxes), the client may cancel the contract and receive a full
refund.
3.
Payment
A
deposit of CAD 1000 per person is required at the time of registration.
This
deposit is non-refundable.
The
remaining balance must be paid no later than 90 days before departure.
If
payment is not received by the required deadline, the reservation may be
cancelled without prior notice, and the deposit will be retained.
4. Travel Documents
Travelers must possess:
- A
passport valid for at least six (6) months after the return date
- Any
required visas, where applicable
- It
is the sole responsibility of the client to verify all entry requirements.
No
refund will be provided if a traveler is denied boarding or entry into a
country due to inadequate or invalid travel documents.
5.
Responsibility of Service Providers
Concord
Tours & Travel acts solely as an intermediary between clients and service
providers, including airlines, hotels, transportation companies, guides, and
other suppliers.
To
the extent permitted by law, Concord Tours & Travel is not responsible for:
- Delays
or cancellations
- Accidents
or injuries
- Loss
or theft
- Damage
to baggage
- Events
beyond its control
The
maximum financial liability of Concord Tours & Travel is strictly limited
to the total amount paid by the client for the trip.
6.
Force Majeure
In
the event of unforeseen circumstances or events beyond our control, including
weather conditions, strikes, conflicts, government restrictions, pandemics, or
similar circumstances, the itinerary or services may be modified or cancelled.
No
additional financial compensation may be claimed.
Any
possible refund will be subject to the policies of the service providers
concerned.
Concord
Tours & Travel is not responsible for indirect damages, consequential
economic losses, emotional damages, or claims arising from circumstances
related to the trip.
7.
Departure and Minimum Number of Participants
Guaranteed departure with a minimum of 20 participants. The
trip may be cancelled if the minimum required number of participants is not
reached.
Clients
will be informed at least 90 days before departure and may choose:
- A
full refund; or
- A
transfer to another travel date at no additional charge.
8.
Cancellation Policy
All
cancellations must be submitted in writing.
Cancellation
schedule:
- More
than 90 days before departure: deposit is non-refundable
- Between
90 and 45 days before departure: 75% of the package price is refundable,
excluding any costs already incurred
- Less
than 45 days before departure: no refund
Any
client who fails to appear for departure (no-show) will automatically forfeit
100% of the amount paid.
Issued
airline tickets are subject to the fare rules and conditions of the airline and
are generally non-refundable and non-transferable.
9.
Travel Insurance
Travel
insurance covering medical emergencies, accidents, and trip cancellation is
strongly recommended.
If
the client declines travel insurance, a signed waiver may be required.
10.
Air Transportation
Group
seats are assigned by the airline, and seats next to one another cannot be
guaranteed.
Final
travel documents will be provided approximately 7 to 10 days before departure.
Passengers
must arrive at the designated meeting point at least 30 minutes in advance.
11.
Accommodation and Package Services
The
trip is organized as a group tour.
The
price is based on double occupancy.
If
a travel companion cancels, a single-room supplement may apply.
Service
standards may differ from those in Canada.
12.
Health and Conduct
Travelers
must be in suitable physical condition to participate in the trip.
Any
special medical condition must be disclosed before booking.
Disruptive,
inappropriate, or dangerous behavior may result in removal from the tour
without refund.
13.
Voluntary Non-Participation
No
refund will be provided for any unused services.
Any
delay or failure to appear at the departure point will be considered a
voluntary withdrawal from the trip.
14.
Changes or Transfer
Any
changes requested after confirmation are subject to availability and may result
in additional fees.
Any
assignment or transfer of the booking to a third party must be requested in
writing and may be subject to penalties.
15.
Photos and Promotional Materials
Photos
or videos may be taken during the trip for promotional purposes.
Unless
written notice is provided before departure, the client authorizes the use of
their image for such purposes.
