Concord Tours Terms & Conditions
To ensure the rights of travelers and a smooth journey, please carefully read the following terms. By registering for any bus tour organized by Concord Tours (hereinafter referred to as "the Agency"), travelers acknowledge that they have read, understood, and agreed to all terms and conditions below.

Concord Tours reserves the right of final interpretation.
I. Booking and Payment
1. All trips can be booked in advance. The Agency recommends travelers to complete registration at least two weeks before departure. Before booking any product, please read all information related to the product, including but not limited to: product prices, itinerary details, departure location, pre-trip instructions, and cancellation/change policies. Once the booking is successful, it is considered that the traveler has carefully read, fully understood, and completely agreed to all related information.
2. The Agency strongly advises travelers to confirm all travel documents (passport, visa, EVUS, ESTA, PR card, etc.) are valid before booking and to keep them safe. After booking (including during travel), the Agency is not responsible for any loss or issue caused by document problems.
3. If the number of participants does not reach the minimum group size, the Agency has the right to cancel or postpone departure and offer travelers rescheduling or full refund options. If your trip involves flight tickets, transportation, hotels, or other pre-booked expenses, it is your responsibility to confirm with the Agency whether the trip will proceed and the itinerary schedule. The Agency is not responsible for any losses or costs due to failure to confirm in advance.
4. Payment is required to book a trip. Website bookings on concordtours.ca do not support installment payments; for installment options, please contact the Concord office for details.
5. Prices indicated on concordtours.ca (excluding attraction or meal service fees) are in CAD. Payments in other currencies may incur additional charges due to exchange rates or fees; the Agency is not responsible.
II. Tour Fee
1. Tour fees include:
—Bus transportation;
—Accompanying tour guide (languages: Chinese/English/French);
—Hotel accommodation (as marked on Concord Tours website);
—Taxes (as marked on Concord Tours website).
2.Tour fees do not include:
—Attraction tickets (specific details can be found on the itinerary page "Print Itinerary" section; tickets purchased outside Concord Tours are not applicable);
—Personal expenses, meals, and optional activities not mentioned in the itinerary;
Travel insurance (medical and accident), visa fees, and related travel document costs;
—Gratuities for guides and drivers: adults CAD/USD 9 per day, children (2–11 years) CAD/USD 7 per day;
—Additional costs due to traveler's personal reasons or force majeure (traffic, strikes, wars, natural disasters, etc.).
3.Tour fees may change due to seasonal or stock variations. Prices at the time of order on the Agency's official website shall prevail.
4.Attraction ticket prices on printed brochures are reference prices; actual prices may vary by season. Official website prices prevail.
III. Children and Infant Policy
1. Domestic Canada travel: children 2 years and above must have their own seat and pay the regular tour fee, driver/guide gratuities, and tickets (if applicable). Infants under 2 may travel on a guardian's lap without paying the regular tour fee, but driver/guide gratuities and tickets (if applicable) must still be paid.
2. International travel: all children (including infants) must have a separate seat and pay the regular tour fee and associated costs.
3. Travelers must accurately declare the number and age of accompanying children and infants at the time of booking. Failure to do so may result in denial of boarding; related legal responsibilities will be borne by the traveler.
IV. Special Needs and Assistance
The travel agency warmly welcomes all travelers and is committed to providing a pleasant travel experience to the best of our ability. To ensure the safety and smooth progress of all travelers' journeys, please be sure to read and agree to the following terms:
1. The Agency does not provide unaccompanied minor services. Minors must be accompanied by at least one guardian/adult (with parental authorization).
2. Minors traveling with only one parent require consent from the other parent as per Canadian youth protection regulations. See: http://www.travel.gc.ca
3. Travelers with any health concerns are required to inform the Agency before booking, so that their suitability and safety for the tour can be properly assessed. The Agency reserves the right to decline the registration of travelers deemed unsuitable for participation. This measure is intended to protect your personal safety and ensure a pleasant experience for the entire group.
4.The Agency's tour guides and staff will provide necessary assistance within reasonable and feasible limits. Travelers requiring continuous personal assistance must arrange for a capable companion to accompany them throughout the trip.
5. Transportation, hotels, and attractions are provided by third parties; accessibility levels are not directly controlled by the Agency. No refund or compensation for related inconvenience.
6. If a traveler fails to disclose relevant information at the time of booking, or engages in activities beyond the scope assessed by the Agency during the trip, all resulting health risks, additional expenses, and travel delays shall be the traveler's sole responsibility.
V. Cancellation and Change Policy
1. Travelers are advised to consider travel insurance.
2. If minimum group size is not met, the Agency may cancel/postpone trips, offering rescheduling, transfer, or full refund options.
3. Force majeure events allow the Agency to cancel/postpone trips with the same options.
4. Traveler-initiated cancellations/changes must be in writing to info@concordtours.ca and confirmed in writing by the Agency.
Short Tours (2 days or fewer):
—Cancellations or date changes made 7–14 days before departure will incur a 20% penalty of the total reservation amount.
—Cancellations or date changes made within 7 days but more than 48 hours before departure will incur a 50% penalty of the total reservation amount.
—No refund or change will be accepted within 48 hours prior to departure.
Long Tours (3 days or more):
—Cancellations or date changes made 31–60 days before departure will incur a 20% penalty of the total reservation amount.
—Cancellations or date changes made 15–30 days before departure will incur a 50% penalty of the total reservation amount.
—No refund or change will be accepted within 14 days prior to departure.
5. Promotional or third-party bookings may have different policies.
6. Transfers to another person allowed, with changes to traveler information. This policy is not applied to flights, cruises etc.
7. Refunds will be returned via original payment method; online payment refund can only refund via original payment credit card, can not switch credit card .
8. The tour price listed on the travel agency's website (excluding attraction fees, meals, and service charges) is in Canadian dollars, and refunds will also be issued in Canadian dollars. If payment was made in foreign currency at the time of booking, there may be discrepancies due to exchange rate fluctuations, for which the travel agency will not be held responsible.
VI. Itinerary Adjustments
1. The Agency reserves the right to adjust itinerary, accommodation, or transportation due to seasonal, traffic, climate, emergencies, or force majeure.
2. Personal arrangements must be confirmed with the Agency; otherwise, the Agency is not responsible for losses.
3. The Agency may adjust visit sequence or lodging without affecting overall quality.
VII. Seat and Hotel Arrangements
1. Bus seats usually assigned by registration order; travelers with special needs are advised to book early or purchase front-row seats.
2. Front-row seats (first three rows) are available for an additional CAD 10/seat/day; not accepted within 72 hours before departure.
3. All clients are expected to respect seat assignments during travel. Any refusal to comply may result in the traveler's exclusion from the remainder of the trip, without refund.
4. North American hotel rooms have 1–2 double beds; max 4 people (include adults and children) per room. Extra beds not guaranteed; costs borne by traveler.
5. Hotel bookings are per itinerary; personal plans should be confirmed with the Agency before reserve the trip.
6. Paid hotel services are at traveler's expense; damage or misuse costs are the traveler's responsibility.
7. Not all hotels guarantee free breakfast, pool, gym, elevator, etc.
8. The Agency reserves the right to adjust seat/hotel arrangements as needed.
VIII. Liability and Disclaimer
1. Travelers must provide valid and accessible contact information at the time of booking, including but not limited to phone number, WhatsApp, or email. The Agency will not be responsible for any costs or consequences resulting from missing contact details, failure to check messages or emails in a timely manner, or failure to respond to communications from the Agency.
2. Regardless of whether information from the Agency has been received, travelers are obligated to arrive on time for departure. Any late arrival or absence will be considered as voluntary forfeiture of the trip. No refunds, changes, or transfers will be accepted. The Agency is not responsible for any resulting additional costs or losses.
3. Travelers must comply with the agreed times and locations set by the tour guide during the trip. Any deviations that result in missed activities or itinerary errors cannot be compensated or refunded, and the traveler bears the associated losses.
4. All bus seats are assigned by the Agency or guides. If a traveler is absent, the Agency and guides have the right to reassign the seat for other use.
5. Travelers are responsible for the health and safety of themselves and any accompanying minors during the trip. The Agency assumes no liability for any risks or consequences, and all resulting costs are the traveler's responsibility.
6. Travelers should assess their personal condition, follow the instructions of guides and tour leaders, and comply with local laws and regulations. The Agency is not liable for any losses caused by personal behavior, health conditions, or force majeure.
7. Travelers are responsible for their luggage and personal belongings. The Agency is not responsible for lost, damaged, or stolen items. Any associated losses or liabilities are borne by the traveler.
8. The Agency acts as an agent for service providers (including transport, hotels, attractions, and catering), arranging and coordinating services on behalf of travelers. The Agency is not liable for itinerary changes, delays, or cancellations caused by transportation delays, weather, natural disasters, or other force majeure events.
9. The Agency reserves the right to adjust or cancel the itinerary to ensure safety and maintain tour quality.
10. The Agency strongly recommends that travelers purchase comprehensive travel insurance covering medical, accident, lost luggage, and trip cancellation. Travelers bear all losses resulting from failure to obtain such insurance.
IX. Confirmation Statement
By completing a booking, the traveler acknowledges having read, understood, and agreed to all terms and conditions.
Concord Tours reserves the right to modify these terms without prior notice.
